Booking Terms & Conditions

Last updated: August 2026

1. Booking & deposit

A booking is confirmed once we receive your deposit — RM1,000 or 20% of the tour cost, whichever is greater. For peak periods or special destinations we may vary the deposit, and we will tell you before you pay. The person making the booking confirms they have the authority of, and accept these terms on behalf of, everyone in the party.

2. Payment of balance

The full balance is due no later than 31 days before departure. For bookings made within 31 days of departure, full payment is required immediately, before travel documents can be issued. Late payment may lead to cancellation of the booking with the charges below applying.

3. Cancellation by you

If you cancel, the following charges apply (as a percentage of the tour fare):

• More than 31 days before departure — loss of deposit
• 15–30 days before departure — 50% of the fare, or the deposit, whichever is higher
• 8–14 days before departure — 80% of the fare
• 7 days or fewer, or no-show — 100% of the fare

Cancellation takes effect on the day we receive your written notice. See our Return & Refund Policy for how any refund is processed.

4. Amendments & extensions

Name changes must be requested in writing at least 21 days before departure and are subject to airline approval. Extending your stay may be possible within the validity of your ticket, arranged before departure and at your own cost; airport–hotel transfers are not provided for an extended return.

5. Changes or cancellation by us

We plan every trip carefully, but occasionally we may need to change facilities, services, prices or itineraries. Tours also require a minimum number of participants to operate; a tour leader is provided for groups of 16 adults or more. If we cancel a tour because the minimum is not met, you receive a full refund of what you paid us, but no further compensation is due.

6. Force majeure

We cannot accept liability or pay compensation where a change or cancellation is caused by events beyond our control — including war, riot, civil unrest, terrorism, natural disaster, epidemic, adverse weather, or decisions by carriers and authorities.

7. Delays & unused services

We are not liable for delays caused by weather, airline rescheduling, mechanical issues or industrial action, and hotels or suppliers do not refund time lost this way. No refund or reduction is made for services you choose not to use — flights, meals, accommodation, sightseeing or transfers.

8. Passports, visas & health

It is your responsibility to hold a valid passport and the correct visas, and to meet any health or entry requirements for your journey. We are glad to help with visa applications, but we cannot be held responsible for denied boarding or refused entry, and any resulting costs are your responsibility.

9. Our role as agent

Five A Travel Tours Sdn. Bhd. acts as a booking agent for the airlines, hotels, transport providers and ground operators who deliver your trip. We select our suppliers with care, but we are not liable for loss, damage, accident, delay or change that is within their control rather than ours.

10. Travel insurance

We strongly recommend adequate travel insurance for every traveller. Please check that your cover is suitable for your trip, and arrange additional cover where needed.

11. Conduct & complaints

Travellers are expected to accept the reasonable directions of our staff and tour leaders; behaviour that endangers the trip or other guests may result in exclusion without refund. If something is not right during your trip, please raise it immediately with the supplier and our representative so it can be put right — a complaint raised only after you return may reduce or extinguish any claim.

12. Governing law

These terms are governed by the laws of Malaysia, and any dispute is subject to the jurisdiction of the Malaysian courts.
